The problem is retrieval, not documentation
Most businesses have written down more than they think. The failure is that the answer is three folders deep, six months old, or contradicted by a newer thread nobody indexed.
Curate before you connect
Point a retrieval system at everything and it will confidently surface outdated policy. Select a small set of authoritative sources, mark ownership, and set a review cadence.
- Name an owner for each source.
- Mark documents as current, archived or draft.
- Remove duplicates before indexing.
- Review high-traffic answers monthly.
Deliver answers where work happens
A knowledge system used once a week is a website. Put retrieval inside the chat tool, the helpdesk and the CRM so it appears at the moment of the question.
